Information We Collect
MindMentor collects the following information: • Account information (email, display name) stored securely in Azure Entra External ID • Onboarding responses (health goals, preferences) stored locally on your device • Mood entries, journal entries, gratitude entries, sleep logs, safety plans, and manually entered safety-plan contacts stored locally on your device • Chat messages you type in the AI chat, processed through Microsoft Azure OpenAI Service • Voice recordings you choose to send in AI chat, transmitted to Microsoft Azure services for transcription before AI response generation • Assessment results (PHQ-9, GAD-7) stored locally on your device We do NOT collect location data, access your device contacts, collect camera/photos, or collect browsing history.
How We Use Your Information
• To provide personalized wellness support through our AI companion • To maintain your account and enable sign-in • To process chat messages through Azure OpenAI for AI responses • To manage subscriptions through RevenueCat We do NOT use your health data for advertising. We do NOT sell your personal information. We do NOT share your health data with third-party advertisers or data brokers.
Data Storage & Security
Most of your personal health data (mood entries, journal entries, sleep logs, gratitude entries, assessment results, safety plans) is stored locally on your device using encrypted storage. Only the following data is transmitted to our servers: • Authentication tokens (Azure Entra External ID) • Chat messages and short chat history for AI responses (Azure Communication Services + Azure OpenAI) • Voice recordings you choose to send for transcription, plus the resulting transcript • Subscription status (RevenueCat) All server communications use TLS 1.2+ encryption.
Your Rights
You have the right to: • Access your personal data • Delete your local app data and your account from Profile > Delete Account • Correct inaccurate account information • Opt out of optional data collection where offered • Request a copy of your data California residents (CCPA/CPRA): You have additional rights including the right to know what data we collect, the right to delete, and the right to opt-out of sale of personal information. We do not sell personal information. Washington residents: Please see our Consumer Health Data Privacy Policy for additional protections under the My Health My Data Act.
AI Wellness Companion Disclosure
MindMentor AI is an AI wellness companion powered by Microsoft Azure services. It is NOT a licensed therapist, counselor, or mental health professional. It does NOT provide medical diagnoses, treatment, or clinical advice. What data is sent: Chat messages you type, voice recordings you choose to send for transcription, resulting voice transcripts, and a short in-memory history for context (last 20 messages) are transmitted to Microsoft Azure services. Who receives it: Microsoft Azure services, including Azure OpenAI Service for AI responses. Microsoft's data processing terms apply. Microsoft contractually commits that prompts and responses are NOT used to train or improve any foundation models. Messages are not shared with any other third parties. How long it is retained: Azure OpenAI retains prompts and responses for up to 30 days for abuse monitoring only, after which they are deleted. We do not store chat content on our own servers beyond the active session thread. User consent: Before your first message, an in-app consent dialog explicitly discloses that messages and optional voice data are sent to Microsoft Azure services. You must accept to continue. Crisis detection protocols are in place per California SB 243 requirements.
Children & Minors
MindMentor is intended for users aged 13 and older. Users under 18 will receive periodic reminders that they are interacting with an AI system. We comply with COPPA and do not knowingly collect data from children under 13.
Data Breach Notification
In compliance with the FTC Health Breach Notification Rule, we will notify affected users within 60 days of discovering any unauthorized access to health-related data.
